Lou has asked me to continue to help organize other County Committees for the LPPA throughout the Commonwealth.

If you know of inactive County Committees that were recognized but then eventually became inactive (and that have not since been dissolved), please let me know.

If you know of sincere, committed individuals who seek to organize a County Committee and intend to stay with that County Committee for the long term, please let me know.

I will provide my expertise and assistance to those requesting it.

I now see that the LPPA Bylaws state that a recognized County Committee that fails to submit four consecutive quarterly reports "will result in the automatic dissolution of the committee" so by definition, there would be no County Committees hanging around for more than about a year that have been inactive.

Minutes of our past BOD meetings show which counties have filed reports.

Do you know which organized counties have not filed four consecutive reports and that therefore, pursuant to the LPPA bylaws, have been "automatically dissolved"?

Do you maintain a list of active County Committees that have filed at least one of the past four required reports?
Could you provide that list of active County Committees here so everyone can see it and provide corrections, if necessary?

I have not consolidated the information yet, no.

We determined a list of 10 counties with voting status at our July meeting, the concern being that each was maintaining the required 10 minimum membership in their counties.

The reports issue came up prior to the convention, but the only outstanding requirement at that time was resolved shortly after the convention.  October marks the final quarter of the year so perhaps I need to review the minutes.

When you have time, it would be great if you could consolidate the information.

Isn't it 12 LPPA members in good standing that a County Committee must maintain for its State Representative to get a vote, not 10?

It is 12 members to maintain a voting board rep and the past few meeting minutes have not contained information for any reports filed. This must be corrected and the status of county affiliates must be maintained. This is the role of the secretary, in keeping the records. If two consecutive quarters pass with an affiliate filing no reports, that affiliate should be notified so the issue can be addressed. A table with the date of the last filed affiliate report filed would be sufficient.

I am so happy that I am no longer Secretary.  To do it right takes between 15 and 20 hours a week.  It was driving me bonkers.  Perhaps we should consider making it a paid position.  The EVC and WVC should probably be paid mileage at a minimum.  Lou's idea of a paid fund raiser is a good one in my opinion...something that I would consider if the BOD decides to go with it.

That's not consistent with my observations.  My county has submitted reports which weren't noted in the minutes.  The minutes have failed to include county reports along with committee reports for quite some time now.

I know as of February the reports of committees were included in the meeting documentation, which still used the old format showing board members, status of counties and committee staff. I have not seen any since then. I had sent the format to the chair and secretary after the convention, updated to the best of my ability, so it should be available for use. I know when I was acting as secretary many years ago it would maybe take 15 hours per month, and it certainly should not take much more than that. This is just copying and pasting of reports for the board members, not generating the reports. A table summary showing updated report submittal dates may take a little time to initially prepare, but subsequent updates should take but a few minutes.

The minutes which I posted included references to any reports received from county committees.  If no mention was made, none were received for that meeting.

This is a simple administrative issue that's being blown out of whack.  July settled the status of county committees, which should be reviewed quarterly.... we're in the 3rd quarter, soon to hit the 4th.  An update in October should be sufficient.

If Dr. Stevens want's the list for his county, I can send it to him if he emails me.  I haven't received the email.

As per your prior request, I e-mailed you the request for the spreadsheet to secretary@lppa.org on September 28, 2011 at 4:09 p.m. and re-forwarded it to you at the same e-mail address today September 29, 2011 at 11:41 a.m.

Please confirm receipt.

I agree this is a pretty simple administrative thing, but one that is important to address.

Great, so if I wanted to confirm my county report submitted for the June baord meeting was recorded, where would I look?
